How to Review Multiple Properties in RoomLedger
Owners and managers of several properties can mix up photos, keys, meters and repair requests when they use only a photo album. A clear property ID, consistent room structure and review schedule show which file is complete. RoomLedger can organize these layers, but the naming rules must be designed before the portfolio grows.
Use consistent IDs and names
Give every property an ID, a location that is identifiable in your private system and suitable access information. Use the same room names across properties. Do not call a file “new room” when another person cannot tell which property it belongs to. Package names should include property ID, period and creation date.
Review by status
Use states such as not started, recording, waiting for confirmation, exported and needs repair. For each property, check wide photos, issues, inventory, meters, keys and the report. Randomly open original files instead of relying only on item counts.
Use RoomLedger and backups
Enter data under the correct property, add captions, serials, measurements and timeline entries. See RoomLedger. Export PDF for reading, CSV for filtering and ZIP for original images; open the files and save them with approved permissions. Test restoring one property so the backup is more than a list of filenames.
Before sending a package to a landlord, tenant, insurer or contractor, remove unrelated images and restrict access. Record who changed what and when. Review a sample monthly, especially new records, missing photos and sent packages. When a manager changes, create a handover point for access and package ownership; never put passwords in notes.
Note: RoomLedger does not replace property management, inspection, insurance or legal advice.
