RoomLedger PDF, CSV, and ZIP Export FAQ

RoomLedger records may include condition photos, measurements, inventory, meter readings, notes, and handover information. PDF, CSV, and ZIP have different purposes. Choose for the recipient, test files before sending, and retain originals for the required period.

When should you use PDF?

PDF suits a fixed-layout report for reading, printing, or a general overview. Check property name, date, first and last pages, close-ups, and notes. If images are cut or text overflows, create the export again.

When should you use CSV?

CSV suits inventory, measurements, or lists that need filtering. Check encoding, separators, units, dates, decimals, and non-English characters. It is not a replacement for photos or invoices; it usually contains fields only. Keep an unchanged export before adding formulas.

When should you use ZIP?

ZIP suits a package containing the report, images, invoices, or related files. Extract it, check the folder names and image count, remove unrelated files, and review access because it may contain addresses, serials, or private documents. View RoomLedger.

Note: RoomLedger organises records but does not decide a legally required format.

Checklist before sending

Confirm property and date, inspect PDF pages, verify CSV units and encoding, extract ZIP, compare image count, remove unrelated records, and use minimum sharing permissions. Record the send date and keep confirmation from the recipient.
