How Are PDF, CSV, and ZIP Different in RoomLedger?
RoomLedger can export reports and inventories as PDF, CSV, or ZIP. Each format fits a different purpose; no single format is best for everyone.
PDF: readable and shareable
PDF suits a fixed-layout report with inspection date, rooms, condition, notes, photos, meters, keys, and signatures. It is easy to read, but retain original photos when they matter for comparison. Open the export and check that images and signatures appear.
CSV: filterable and structured
CSV suits inventory and measurements that need sorting or processing in Excel or Numbers. Check encoding, dates, units, and serial columns before sending. CSV does not preserve an image layout; use original files or ZIP when evidence is needed.
ZIP: a complete package
ZIP groups report, inventory, photos, and related data. Extract it and tell the recipient how to access it. RoomLedger may include SHA-256 fingerprints, which help detect file changes after export but do not prove that disputed content is true.
Choose by purpose
Use PDF for quick reading, CSV for filtering assets, and ZIP for backup or full handover. For an important record, keep both an accessible PDF and a complete ZIP. View RoomLedger.
