send PDF or original photos

Should you send a PDF or original photos in a home handover?

PDF is useful when the recipient needs a structured report to read. Original photos are useful for detail, metadata and context that a PDF may compress or omit. In many cases the best answer is not either-or: send the PDF as a guide, keep the originals and provide the relevant images if the recipient needs more detail. RoomLedger can create reports and exports, but you must check the recipient’s requirements.

When PDF works well

PDF is easy to open, print and share with a stable layout. It suits checklists, condition ratings, meters, keys, inventory and summary notes. Before sending, inspect the last page, confirm that images belong to the right room, check the date, property name, page count and clipped fields. Give it a versioned filename so an old report is not confused with a new one.

When original photos matter

Originals help when someone needs to zoom into a scratch, see the wider setting, check colour or inspect a detail missing from the PDF. Keep photos grouped by item or record ID. If you share them, send only the relevant files and consider the metadata and privacy policy. Never edit an image in a way that changes what it shows.

Build a handover package

Create the PDF report, a CSV if the recipient needs filtering and a ZIP or image folder if full evidence is required. Add a short README with the creation date, property scope, folder structure and the way images link to records. Open the package on another device before sending. See RoomLedger and read the support page for available formats.

Requirements differ by recipient

An agreement, insurer or deposit scheme may require a particular filename, size, signature or delivery channel. Ask first. A polished PDF does not prove that it will be accepted, and a large original image does not replace an official form. Keep the version you sent and confirm that the recipient could download it.

Conclusion

PDF is the readable report and original photos are the detailed source; they complement each other. Use RoomLedger to make a structured package, test each file and share it on a need-to-know basis. For a major claim or dispute, preserve the complete source and ask about evidence requirements.

Note: RoomLedger cannot guarantee that a third party will treat a PDF, photo or signature as sufficient for every purpose.
