How to Write Property-Condition Photo Captions That Compare Well
A photo is useful evidence only when someone can tell which room it belongs to, when it was taken and what it shows. A good caption does not need to be long; it needs to be consistent and observable. RoomLedger connects photos with rooms, checklists and notes.
Use a simple formula
Write: room – object – location – condition – date. For example: “Kitchen – cabinet below sink – left edge – paint scratched, not repaired – 3 October 2026.” Keep the location and status in the caption even if the app also displays the date, so an export retains its context.
Describe what you can see, not a guessed cause. Add approximate size, colour, shape, position and whether equipment worked when checked. Use “not verified” when a cabinet or area was inaccessible. Keep room names and reference directions consistent between move-in and move-out inspections. Review a few PDF and ZIP exports to ensure each caption stays with the correct photo. Explore RoomLedger.
Note: Captions organise evidence; they do not replace a formal report or local legal requirements.
