How to Rate Asset Condition in RoomLedger

A useful condition rating describes what can be observed; it does not assign blame or make a legal conclusion. RoomLedger puts photos, inventory, locations, serial numbers, notes, and dates in one property. Use consistent language so people can compare before and after.

Record observable facts

Instead of “cabinet broken,” write “left door does not close, hinge is misaligned, on the wall beside the window, photographed on [date].” Use a wide photo for location and a close-up for detail. If an item cannot be inspected, record that and why.

Use defined levels

You might use new, good, used, monitor, damaged, or repair needed, but define each level. Do not call something new because it looks clean. Record date, reviewer, and lighting conditions, and compare with any management form.

Track change over time

When an asset is repaired, replaced, or moved, create a dated update with before-and-after photos. Keep old history when it matters for warranty, insurance, or handover. Export PDF for reading, CSV for filtering, and ZIP for evidence. View RoomLedger.
