How to record pre-existing damage with RoomLedger

Pre-existing damage should be described with observable facts and dated evidence, not only with the words “already there”. RoomLedger can group photos, rooms, condition notes and reports in a property. It does not decide responsibility; the lease and official inspection record remain important.

Take wide and close photos

A wide photo shows which room, wall or appliance contains the issue. A close-up shows its shape and detail. Keep the original image, avoid edits that remove evidence and write a precise location such as “lower-left corner of the bedroom door”.

Record dates and unknowns

Add the date, person checking and viewing conditions. If an area is blocked, dark or inaccessible, write that it was not verified. Do not call damage new or old without evidence. If the landlord or manager responds, keep their statement separate from your observation.

Link handover documents

Keep photos, notes, inventory, meter readings and the signed form in the same property structure. Send issues through the channel and deadline in the lease. RoomLedger can create a PDF for reading, a CSV for filtering or a ZIP for original images.
