RoomLedger Move-In, Living and Move-Out Workflow

A property record is more useful when it starts at move-in, is updated during the tenancy and is closed at move-out. RoomLedger can hold condition photos, inventory, measurements, meter readings and exports. Use the same room names, date format and structure so the beginning and end can be compared.

At move-in

Create the property, list rooms, take wide and detail photos, record meters, keys, equipment and handover documents. Download PDF, CSV or ZIP, open the files and report issues within the lease deadline. Keep originals and record who attended. See RoomLedger, and use the RoomLedger move-in checklist.

During the tenancy

Update records when you buy, repair, move or replace an item. Add a date and status instead of creating duplicates. Keep receipts, warranties and repair photos in the same structure. Every few months check that files open and access is appropriate. For measurements used in layout, record device and unit.

At move-out

Walk through rooms in the move-in order, repeat important views, record meters and count keys. Compare changes, note disagreements and export the final package. Keep emails, forms and handover confirmations according to the lease. Do not overwrite an old report without creating a dated version.

Before each phase change, record the date, people, documents received, missing documents and export location. If there is a dispute, follow the lease and seek suitable legal advice; RoomLedger organizes a timeline but does not replace a contract or legal procedure.
