RoomLedger Move-Out Checklist: Save the Report Before Handover

Moving out requires a dated record of the property, its assets and its meters at handover. RoomLedger can group photos, notes, inventory and readings, but the important moment is before you return the keys. Save the report while the full record is available and compare it with your move-in documentation.

Compare move-in and move-out in the same order

Open the old inventory and report first. Walk through the same rooms in the same order and take similar wide shots. Then document changes, new damage, repaired areas, replaced equipment and anything that is no longer present. If a landlord or manager replaced an item, record its current condition and the date. Do not call ordinary wear and tear damage without checking the lease or asking the manager.

Record meters, keys and the handover

Photograph each meter clearly, including the reading, unit, time and meter type. Count keys, access cards, remotes and equipment, and write down who received each item. Record who was present, which forms were signed and which documents or questions remain open. Describe differences specifically: a missing blind, a new stain on a wall or a repaired appliance is more useful than a general note saying “condition changed.”

Build and test the final package

Use PDF for quick reading, CSV for filtering rooms and assets, and ZIP for original photos with the report. Open each export and check the final page, property label, dates, key photos and meter images. Test the ZIP on another device if possible and confirm that it really contains the photos. Save an immutable copy before deleting anything from your phone, and share it only with people who need access.

Preserve a clear evidence chain

Write the date, time and change description as soon as you see an issue. Use the same room names and photo sequence as at move-in. Before relying on the package, verify that the PDF pages are readable, the CSV fields are present and the ZIP contains original files. Protect privacy because the record may include an address, signatures and contact details.
