Can a Property Condition Report Replace Legal Advice?

A dated report with photos, signatures or a fingerprint can make evidence easier to read, but it does not automatically become a judgment or a document accepted for every dispute. Its value depends on the lease, the law where the property is located, how data was created and preserved, the parties’ rights and the process accepted by the relevant authority. What a report can do

A useful report identifies the property, room, inspection date, visible observation, related photo, unchecked item and participants. It reduces reliance on memory and makes questions specific. A readable PDF can accompany original images, a CSV inventory and a ZIP backup. Do not send loose images without captions or a timeline.

What a report cannot decide

An app does not decide who caused damage, what repair cost is reasonable, how much deposit is due or whether a clause is valid. A photo may not prove a cause without context or an inspection. Do not edit images, delete history or write a stronger conclusion than the observation supports.

Bring the lease, report, original images, messages and timeline. Organized evidence makes the conversation easier but does not replace professional judgment.

When sending a report, state the observation date, what was not checked and which sources are included. Ask the recipient to reply by item ID. If the parties use different languages, use simple captions and confirm the meaning; do not treat machine translation as legal advice.
