How to Store Receipts with an Asset Inventory in RoomLedger
A receipt can identify an item, model, purchase date and accessories, but it does not prove current condition or value by itself. Record vendor, date, invoice number, item, model, serial and currency when present. Photograph all relevant pages and name files with property, room, item and date rather than “receipt1”.
One receipt may contain several items, so link each line to the correct inventory record. Keep current-condition photos separately. Restrict sharing when the receipt contains an address or payment data. If the receipt is missing, record the replacement source and unverified status instead of inventing a purchase price.
Open PDF, CSV and ZIP exports, keep originals and record export date and reviewer. When an item is sold, replaced or moved, update the link without deleting history. Explore RoomLedger.
Note: A receipt does not determine ownership, value or insurance responsibility.
