How to Create a Property Condition and Home Inventory Record with RoomLedger
A condition record shows what a room looked like at a specific time. An inventory records which assets are there and what is known about them. RoomLedger combines both layers with photos, locations, brands, models, serial numbers, values, meter readings, measurements, and exports.
Start with a map of the property
Create the property and room list first. For each room, take one wide photo, followed by photos of doors, walls, floors, appliances, and anything unusual. Record the exact location, viewing direction, and date. If you take measurements, include the unit and how the measurement was made.
Add important assets
Prioritize high-value items, serialised equipment, warranties, and assets relevant to insurance. Use a clear name and record the brand, model, serial number, purchase date, and value with an explicit estimate label. Photograph labels and the surrounding context. Limit who can view invoices and other sensitive files.
Package and update the record
Export PDF for reading, CSV for filtering, and ZIP for photos and files. Open test files before sharing them. When an item moves, is repaired, or is sold, update its status and change date. Regular reviews reveal broken links, unreadable files, and outdated information.

Review quality before sharing
Read the record as someone who has never visited the property. Can they identify the room, date, and matching serial number? If not, add a caption or clearer name. Open random files in the ZIP and verify that the PDF and CSV contain what you expect. Remove unrelated personal data before sending the package.
