How to Record Equipment Serial Numbers in a RoomLedger Inventory
Serial and model numbers distinguish similar equipment and help with warranty or asset checks, but serial photos may be sensitive and hard to read. Take one context photo and one well-lit label photo without removing panels or moving heavy equipment. If the label is blocked, mark it unverified instead of guessing.
Check characters such as O/0, I/1 and S/5 against the original. Record capture date and reviewer. Keep the manufacturer serial separate from an internal asset number. Share only with people who need it, and limit photos that include an address or contract.
If a serial changes or a device is replaced, close the old record with an end date and create a new one. Keep old and new values in the note rather than silently deleting history. Explore RoomLedger.
