How Is RoomLedger Different from a Paper Checklist?
A paper checklist is inexpensive, easy to use and suitable for a simple one-time inspection. RoomLedger can add photos, captions, inventory, measurements, a timeline and exports to the same structure. The choice is not that paper is always bad or an app is always better; it depends on how you need to find, share, update and back up evidence months later.
When paper is enough
A small property with few photos, participants present and a secure filing method may work well on paper. Photos still need to be stored separately, measurements must be tied to rooms and corrections should preserve history. If paper has no backup or is easy to misplace, its initial convenience quickly decreases.
What RoomLedger adds
RoomLedger groups records by property and room, links photos to captions, and supports inventory, serial numbers, meters, keys, measurements and reports. See RoomLedger. A PDF is readable, CSV is filterable and a ZIP can keep original files within your workflow. This helps when there are multiple properties, repeated handovers or a need to find an old item.
Costs and limits
An app needs a device, an input habit and an export plan. Digital photos can also be lost or shared by mistake. RoomLedger does not replace a lease, inspection or legal advice. Test the workflow on one room, check privacy and verify that you can restore an export before expanding.
Choose a room and create a wide photo, a close-up, one inventory item, one measurement and an export. Ask another person to find a defect from the package. If they cannot tell the room, date or source, improve the structure before documenting the whole property.
Paper also needs naming rules, storage and an owner, while an app may still need a printable version for a recipient who does not use it. Design the handoff point: a readable PDF, openable originals, a clear item list and notes about limits. A good tool works for both the person creating the record and the person receiving it.
Note: Choose based on purpose, number of properties, recipient requirements and the workflow you can maintain.
