A complete move-in checklist for a rental home
Move-in day is busy, but the first record of a property can matter months later. Walk through each room before boxes hide surfaces, record meters and keys, and keep wide and close photographs connected to a date. Prepare the property
Charge the phone, clear storage and prepare the lease, room list and handover items. Create the property and rooms before or during the walk-through. Decide who keeps the originals if several people take photos. Use a consistent route so no room is missed.
Record condition and inventory
Photograph floors, walls, ceilings, doors, windows, fixtures and supplied furniture. Use a wide image for location and a close image for detail. Add neutral captions, dates and notes for areas you could not inspect. Record brand, model, serial and quantity where useful.
Capture meters and keys
Photograph meter readings with the unit, date and location. Count keys, remotes, cards and accessories. Do not infer billing responsibility or technical safety from a photograph. Create separate items for missing or unclear handover parts. Start RoomLedger.
Report issues early
For damage, moisture, equipment concerns or missing items, record the observation and report it through the agreed channel. Keep a copy of the message and response. Do not edit the original photos to make a mark clearer. Add follow-up dates to the timeline.
Export and preserve
Create a readable PDF and keep the original photos or ZIP. Open the export before sharing, check room names and dates, and limit private information. If the condition changes after move-in, add a new dated record rather than rewriting the baseline.
